How to Prepare for an Online Notary Appointment: A Simple Checklist

Remote online notarization saves you a drive, a waiting room, and sometimes a whole afternoon. But a session can stall if your camera will not turn on or your ID is in the car. A few minutes of prep makes the whole thing quick and painless.

A quick note: this article is general information, not legal advice.

1. Have your photo ID ready

Keep a current, unexpired government photo ID within reach, like a driver's license, state ID, or passport. During the session you will usually be asked to show it to the camera, and the platform may ask you to take photos of the front and back. Make sure the name matches the name on your document. If it does not, mention it when you book.

Many online platforms also ask a few identity questions based on public records, such as past addresses. They are timed, so it helps to answer from a calm place without distractions.

2. Check your device and connection

You will need a computer, tablet, or phone with a working camera, microphone, and speakers. A laptop or desktop is usually easiest because the document is easier to read on a bigger screen. Charge your device or keep it plugged in, and use a strong Wi-Fi connection if you can.

Before the appointment, open the link you received and test your camera and audio. Close other apps that use your camera, like video chat programs, so they do not block it.

3. Get your document ready, but do not sign it

Have the final version of your document as a PDF. Read it through, fill in any blanks that apply to you, and confirm every page is there. Do not sign it ahead of time. You will sign electronically during the session while the notary watches.

If your document needs witnesses, ask about it when you book so the notary can tell you how witnesses can take part.

4. Confirm the recipient accepts online notarization

Most banks, businesses, and agencies accept remotely notarized documents, but some still ask for wet ink signatures. Before your appointment, check with whoever is receiving the document. It takes one quick call or email and can save you from doing it twice. Our guide on using a Nevada online notary from another state or abroad covers this in more detail.

5. Pick a quiet, well lit spot

Choose a private room with good light in front of you, not behind you. Turn off the TV and let others in the house know you need a few minutes. Only the signer, and any witness the document requires, should be on camera.

What happens during the session

The notary will greet you, verify your identity, and walk through the document with you. You will sign electronically, and the notary will complete the notarial certificate and add a digital seal. The session is recorded, as required for remote notarizations. When it is done, you can usually download your notarized document right away and send it wherever it needs to go.

Plan for about 30 to 45 minutes so nothing feels rushed. If you are new to online notarization, our remote online notarization guide explains the basics.
